Admin at Whitefield Office

Are you organized, detail-oriented, and great at multitasking? We are looking for an Admin Assistant to support our law firm’s daily operations. Whether you’re starting fresh or a retired professional, if you have a keen eye for administration, communication, and  accounting, this role is for you!

Education: Diploma / Graduation
Compensation: Rs. 10,000 to 30,000

Key Responsibilities

Client and Office Communication

  • Answer and direct phone calls professionally

  • Write and distribute emails, correspondence memos, letters, faxes, and forms

  • Provide general support to visitors and clients

  • Maintain contact lists

Office Management and Administration

  • Organize and schedule appointments

  • Plan meetings and take detailed minutes

  • Develop and maintain a filing system

  • Update and maintain office policies and procedures

  • Order office supplies and research new deals and suppliers

  • Manage cleaning staff and ensure office upkeep

  • Handle day-to-day office activities

Financial and Document Management

  • Send bills to clients and follow up on payments

  • Submit and reconcile expense reports

  • Send work proposals to clients

  • Assist in the preparation of regularly scheduled reports

  • Scan documents and organize records

Travel and Logistics

  • Book travel arrangements for lawyers and clients as needed

Skills Required

  • Excellent spoken and written English for professional communication

  • Ability to handle phone calls with confidence and clarity

  • Strong time management and attention to detail

  • Basic knowledge of office software and accounting tools

  • Professionalism, reliability, and a positive attitude

Requirements:

  • Proven admin or assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Strong organizational and planning skills
  • Proficient in MS Office & other computer software
  • You have a high sense of urgency and ability to thrive in a fast-paced international environment;
  • Strong written and verbal communication skills (English)
  • Strong sense of responsibility
  • Remarkable organizational skills and relentless drive to improve efficiency
  • Strong teamwork and ability to welcome differences when working alongside others
  • Strong knowledge of using video conferencing applications including Zoom, Google Hangouts, Cisco Webex
