Key Responsibilities
Client and Office Communication

Answer and direct phone calls professionally

Write and distribute emails, correspondence memos, letters, faxes, and forms

Provide general support to visitors and clients

Maintain contact lists
Office Management and Administration

Organize and schedule appointments
-
Plan meetings and take detailed minutes
-
Develop and maintain a filing system
-
Update and maintain office policies and procedures
-
Order office supplies and research new deals and suppliers
-
Manage cleaning staff and ensure office upkeep

Handle day-to-day office activities
Financial and Document Management
-
Send bills to clients and follow up on payments

Submit and reconcile expense reports
-
Send work proposals to clients
-
Assist in the preparation of regularly scheduled reports

Scan documents and organize records
Travel and Logistics

Book travel arrangements for lawyers and clients as needed
Skills Required

Excellent spoken and written English for professional communication

Ability to handle phone calls with confidence and clarity

Strong time management and attention to detail

Basic knowledge of office software and accounting tools

Requirements:
- Proven admin or assistant experience
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Strong organizational and planning skills
- Proficient in MS Office & other computer software
- You have a high sense of urgency and ability to thrive in a fast-paced international environment;
- Strong written and verbal communication skills (English)
- Strong sense of responsibility

- Strong teamwork and ability to welcome differences when working alongside others
- Strong knowledge of using video conferencing applications including Zoom, Google Hangouts, Cisco Webex
